GUIDELINES FOR SUBMITTING ERRORS IN BIBLIOGRAPHIC RECORDS TO OCLC

Introduction
 

Catalogers and Cataloging Assistants are encouraged to submit error reports for the following types of errors only, when encountered in the OCLC online union catalog.  Reports for type codes, filing indicators, and duplicate records should be on official OCLC forms (reproducible forms can be found at the end of chapter 5 of Bibliographic Formats and Standards):
-Type or write legibly in black ink
-Include OCLC control number
-Supply all other information requested
-Leave upper right portion of form blank
-At the top of form, pencil in your name (or initials) and date
Submit all forms to the Monographic Corrections Coordinator, who will forward them to OCLC.

I. Type of record codes
 

Includes records using inappropriate workforms, for example, a nonbook item cataloged using the books format workform.  Such records may not contain appropriate fixed or variable field values, affecting retrieval of the records.



II. Filing indicators
 

An incorrect or omitted filing indicator may adversely affect retrieval of a record.  Errors of this type should always be reported.  EXCEPTION: do not report an indicator change from  n(blank) to 0.

III. Duplicate records

A. Books format:  Do not report duplicate records in books format.

B. Serials format (BLvl: "s")

1. Report duplicate records even if the record to be duplicated has other location symbols.

2. Report duplicated records for serials cataloged on both books (BLvl: "m") and serials ("s") workforms, even if the record to be deleted has location symbols.

3. If only a latest entry record is found in the Online Union Catalog, enter a separate successive entry record for each title held in your library.  Treat these successive entry records as original cataloging.  Report the OCLC control numbers of the existing record and the new records to OCLC.  In the future, OCLC will delete the latest entry record if successive entry records have been input for the separate titles.  (See II. B. 4. b. (1))

4. Do not report:

(a) Single issues of a serial (cataloged as a monograph) as a duplicate of the record describing the serial as a whole.

(b) Two existing records for a serial, one of which is successive entry cataloging, while the other is latest entry cataloging.  (See II. B. 3.)

(c) Two records for a serial cataloged by the National Library of Canada both in English and French.

(d) Two serial records, one of which is one the serials workform while the other is on the workform for the appropriate nonprint record type.

C. All other formats:  Report duplicate records as encountered except National Library of Canada records that are both in English and French.

IV. Records cataloged and input originally by UMass Amherst (040 = AUM |c AUM) with no other institution's holdings attached
 

Report any error of any kind to the Monographic Record Corrections Coordinator as soon as possible via a printout with correction noted.  If there are still no other holdings attached, the coordinator will lock and replace the OCLC master bibliographic record.
