Introduction

We are now beginning to link newly received CDs and CD-ROMs, except for those CD-ROMs intended for the network or stand-alone stations.

It is important to distinguish between CDs and CD-ROMs.

CDs and CD-ROMs that accompany a printed title will be treated as accompanying material and cataloged on the record for the printed title, even though, as with Music material, the disc and the printed material may be housed separately. CD-ROMs that are purchased as separate titles will be cataloged on a separate record.

Normally, CDs and CD-ROMs that are treated as accompanying material will not have separate item records or call numbers. However, CDs and CD-ROMs that are accompanying material to a cataloged print title but are housed separately (e.g., Music material) will have separate item records attached to the bibliographic record and will receive the call no. of the cataloged work. The call no. for CDs and CD-ROMs that are cataloged on their own records should be CD|a[sequence no.] or CD-ROM|a[sequence no.].

CDs and CD-ROMs that have their own item records have specific sub-locations in Innopac, as defined in the location codes list.

Status for CD-ROMs that have their own item records is ‘a’, which displays as "Ask Reference."

Disc in book

 
If a disc is to be contained within a printed volume, e.g., in a pocket, do not create an item record for the disc. It will be referred to as accompanying material in the bibliographic record.

End processing staff write on the disc an ownership statement, the call number of the book, and the disc no. (if more than one) with a special felt tip pen as instructed in the End Processing Manual.

Disc in jewel case or other container

 
If the disc is in a jewel case or other container housed separately from any print material, regardless of whether the disc is accompanying material or a separate bibliographic entity, create one item record for each jewel case, whether it contains one or multiple discs. Do not create item records for each disc and booklet kept within the jewel case.

If the disc is in a jewel case, place the barcode label in the lower left-hand corner of the case, approximately 1/4 inch from the left edge (not counting the fixed spine of the case), and 1/4 inch from the bottom of the case. Never place a barcode on the disc itself.

If the disc does not come in a jewel case and is to be housed separately, place it in a jewel case from the supply cabinet, if possible to do so, and follow the above procedures.

If it is not possible to accommodate the disc in a jewel case, generally apply the barcode in the lower left-hand corner of the disc’s container. However, if the barcode would obscure important information, consult with a supervisor as to the most appropriate placement.

End process the case itself and each disc and booklet within the jewel case or other container as instructed in the End Processing Manual.

Jewel case(s) within container

 
If there are multiple jewel cases within a container, do not create an item record for or barcode the container itself, but do create an item record for and barcode each jewel case within the container, and any booklet that is kept within the container but not within a jewel case.

Apply end processing procedures and call number label to the case, including an indication of contents.
