Introduction
 

Catalogers and Cataloging Assistants should use the guidelines outlined below for determining added entries for title variations and added entries for works. Cataloging in which two or more of the guidelines could be applied will be handled on a case-by-case basis, with decisions made by a cataloger or the Head of Information Processing.

Added entries for title variations and added entries for works are based on different principles. Added entries for title variations are made to provide access to different forms of a title (e.g. cover titles, titles with numerals, etc.) or portions of the title proper (such as cases in which there is an alternative title or no collective title). Added entries for works are made either to provide access to works included in a work for which a comprehensive catalog record is made, regardless of whether or not the included work is mentioned on the title page (analytical), or, to refer to a related work (simple). An added entry for a work (analytical or simple) should be either an author/uniform title added entry or a uniform title added entry when the title stands independently. Note that an author/title added entry is used only in added entries for works. Always use a uniform title, if available, for the title portion of author/title added entries.
Catalogers and Cataloging Assistants should note that a full discussion of the Library of Congress' practice regarding title added entries is found in LC Rule Interpretation 21.30J (Cataloging Service Bulletin, no. 78, pp. 41-61). A discussion of the Library of Congress' practice regarding added entries for works is found in LC Rule Interpretations 21.7, 21.30M and 25.7-25.11. At times, our practices will differ from LC's. An important example of different practice is that we will not use |f dates following analytical added entries as instructed in LCRI 21.30M unless the date is considered a part of the uniform title, as in the case of Works, Selections (except in the case of music), and Bible entries. This document will deal with the most common instances in which questions could arise.

General Guidelines

1. Titles proper: all 245 |a titles are indexed in the title index in Innopac. Use a 245 with first indicator 1 in records with 1xx fields; use a 245 with first indicator 0 in records lacking 1xx fields.

2. Do not make additional title added entries for variations of titles (e.g. cover titles, spelling out arabic numerals, etc.) when the variation occurs after the first five words of the title.

3. Normally do not make additional title added entries for variations of titles (e.g., to spell out arabic numerals) that appear only in the title portion of author-title added entries.

Initial Articles and Filing Indicators

1. Do not use initial articles when making additional title added entries. Be sure that the filing indicator is 0.

2. Do not delete initial articles from additional title added entries already present in records, but examine any existing filing indicators for correctness.

3. Initial articles should not be used or retained in the title portion of author/title added entries.

    Alternative Titles

    AACR2, 2nd ed., defines an alternative title as "the second part of a title proper that consists of two parts, each of which is a title; the parts are joined by the word or or its equivalent in another language (e.g. The tempest, or, The enchanted island)."

    Since the alternative title is defined as a part of the title proper, it should appear as part of subfield a of the 245 field. Title tracings are made for:

    1. The title proper, including the alternative title   2. The first part of the title (e.g., The tempest, in the example given above) if it contains three or fewer words, not counting an initial article. If the first part of the title contains more than three words, no additional title added entry should be made for the first part of the title by itself.   3.     Abbreviations

    Example: Title/title added entry: Mt. St. Helens       Additional title added entry: Mount Saint Helens Original cataloging:   Make an additional title added entry for the title with the abbreviations
                                   spelled out.
    Copy cataloging:   Retain or add an additional title added entry with the abbreviations spelled

    Initialisms and Series of Letters

      NOTE:   If the transcription does not show spacing or separating punctuation, normally do not
                  make an added entry with spacing or separating punctuation.

    Original cataloging:  Do not make an additional title added entry for a form of the title      containing arabic numbers unless it is thought that some users of the
         catalog might reasonably expect that that was the form in the source.  
    Copy cataloging:  Retain or add an additional title added entry containing arabic numbers only   if it is thought that some users of the catalog might reasonably expect that
      that was the form in the source, or, it has been included in DLC/DLC
      cataloging.  
    NOTE:  LC more often than not, especially in cases in which lower numbers are present     (e.g. one, third, cinco, etc.) does not make an additional title added entry substituting
        arabic numbers for the spelled-out form. Our tendency should be to do likewise.

    Fractions and Decimals

      form was spelled out in the book itself, or, it has been included in DLC/DLC
      cataloging.

    Roman numerals

    NOTE:  At times, LC chooses not to spell out the roman numeral, with the justification that      the user would not expect that it would have been spelled out in the sources.

    Original cataloging:  Make an additional title added entry substituting arabic numerals for the       roman numerals. Make an additional title added entry substituting the
          spelled-out form of the number in the language of the title if it is thought
          that some users of the catalog might reasonably expect the form was
          spelled out in the source.  
    Copy cataloging:  Retain or add an additional title added entry for a form with arabic numerals.   Retain or add an additional title added entry substituting the spelled-out form
      of the number in the language of the title if it is thought that some users of
      the catalog might reasonably expect the form was spelled out in the source,
      or, it has been included in DLC/DLC cataloging.  
    EXCEPTION: Roman numerals which are part of a name of a ruler, Pope, etc., used in a title:   Examples: Title/title added entry: Charles I, the personal monarch Additional title added entry: Charles the First, the personal monarch

    Punctuation and spacing

    Examples: Title/title added entry: Al-Manak de Gaia 1991 Additional title added entry: Almanak de Gaia 1991 Title/title added entry: Actfive and other poems Additional title added entry: Act five and other poems Original cataloging:  Make an additional title added entry for a title containing a word with      separating punctuation with the word spelled as one word if it is thought
         that some users of the catalog might reasonably expect that the word was
         given as one word in the source.        Make an additional title added entry for a title containing a single word
         consisting of two or more normally distinct words joined together with
         those words separated if it is thought that some users of the catalog might
         reasonably expect that those words were given separately in the source.  
    Copy cataloging:  Retain or add additional title added entries for separated or conjoined words   if it is thought that some users of the catalog might reasonably expect that
      the words were so given in the source, or, if such additional title added
      entries are included in DLC/DLC cataloging.  
    NOTE:  Innopac normalizes titles by replacing punctuation with a space. Titles containing     words with separating punctuation are indexed as though such words were separate
        words.

    NOTE: Distinguish between collections and works consisting of more than one contribution that are collaborations. Do not make analytical (author/title) added entries for works consisting of more than one contribution that are collaborations.
