PROCESSING OF PRESERVATION PHOTOCOPIES FROM ACME
Occasionally a damaged or deteriorated volume that is considered by the Preservation and Repair Unit Supervisor in Information Processing to be in a physical condition unsuitable for repair will be selected for preservation photocopying, generally by Collections Development staff upon review of such material. Such volumes will be sent to the Acme Bindery for photocopying. The photocopy will be cataloged upon return as a photocopy edition of the work and will require a new bibliographic record. The old copy will generally be discarded. The following procedures should be followed for processing this material.The Preservation and Repair Unit Supervisor will be responsible for typing the bindery slip. The binding class will be 5P. A note saying PRESERVATION will be typed at the bottom center of the bindery slip. The status of the item record will be changed to 'b', for "At Bindery", and a note will be added to the item record saying "Sent for preservation photocopying, [date], [initials]." The date should be the following Monday if the volume is to be delivered Thursday or Friday. The volume will be delivered to the Head of the Monographic Section in Acquisitions.
The Head of the Monographic section will be responsible for creating a new bibliographic record in Innopac, generally by using the Innopac command to GENERATE a duplicate record from the record for the original. The OCLC number and the CAT DATE from the original record must be deleted from the new record. A 533 field will be added to the new record: 533 nn Photocopy.|bCharlestown, Mass. :|cAcme,|d[year]. An order record will be attached to the new bibliographic record with the appropriate information.
Upon return from the bindery, the new photocopy volume will be delivered to the Head of the Monographic Section for receiving procedures. The volume should be examined to determine if the work is satisfactory, and sent to the Cataloging Department for cataloging, with a printout of the new Innopac record for the photocopy. After cataloging, the volume will be delivered to Information Processing as a normal non-MARC book for OCLC input and end processing.
The original volume will normally be discarded by Acquisitions. A printout of the bibliographic and item records for the discarded volume will be sent to the Preservation and Repair Supervisor in Information Processing with a note saying DISCARD, PRESERVATION COPY MADE. The shelflist card will be marked according to normal discard procedures and information transmitted to the Record Corrections Coordinator, who will make the appropriate changes for discards in Innopac and OCLC.
