INTRODUCTION

The only overlay point for tapeloads on III will be the OCLC record number. The following procedures are designed to guarantee that the temporary bibliographic record input by the Acquisitions Department for ordering purposes includes an OCLC record number that matches the one on the permanent bibliographic record so that it will be overlaid.
 
 

CAUTION



In adhering to the following procedures:

1. Do not change the OCLC no. on any bibliographic record that has a cat. date. If an order record appears to be attached to the wrong bibliographic record, consult Acquisitions.   2. After changing or entering an OCLC no. on any bibliographic record in Innopac, search the database again by that OCLC no. to ensure that the OCLC no. being entered is not already present on a record and to verify the accuracy of the number. If that OCLC no. is present on another record, consult the Head of Cataloging or Information Processing.

I. Cataloging Procedures

A. Cataloging edit sheet has OCLC number (contributed copy and CIP copy)  
Check the packing slip for an OCLC record number.
1. If there is one and if it matches the OCLC number on the cataloging copy, put a check mark next to the OCLC number on the cataloging copy to indicate that there is an overlay point and there is no need to input the OCLC number into the Acquisitions record.   2. If there is no OCLC number on the packing slip, or if the OCLC number on the packing slip does not match the one on the cataloging copy, call up the Acquisitions record on Innopac, compare the order record numbers to guarantee that the overlay point is for the right record, and enter the OCLC number, or update an incorrect number to the correct one, on the temporary bibliographic record that was input by Acquisitions. Put a check mark next to the OCLC number on the cataloging copy to indicate that the match point has been established.   3. If the order record appears to be for a different book, consult Acquisitions.

B. Cataloging edit sheet lacks OCLC number (MARC and original cataloging)

  1. MARC/LibCat edit sheets   a. Order record number -- Check the order record number on the packing slip and make sure it matches the one on the edit sheet. If the order record numbers on the edit sheet and the packing slip do not match (could have been miskeyed for the MARC search), enter the correct order record number on the edit sheet (be sure you have the right packing slip).   b. OCLC no. -- If there is an OCLC record number in the lower right corner of the packing slip, write that number in the space labelled "OCLC:" that is, at the upper left corner of the fixed field on the MARC edit sheet. Write it in red ink to show that the number was entered by the MARC cataloger rather than the input operator. Do not determine if it is really the correct OCLC no. (input operator will do so).   If there is no OCLC no. on the packing slip, do nothing further about the OCLC no.   2. Original records
  Write the order record number from the packing slip in the upper right hand corner of the worksheet for original cataloging. Be sure you have the right packing slip.

C. BOS order slips

For material with BOS order slips, do not check Innopac. Instead, if the cataloging edit sheet has an OCLC number, write "BOS" above the OCLC number. On original cataloging worksheets, write "BOS" in the upper right corner. On MARC/LibCat edit sheets, write "BOS" by the space provided for the OCLC number. Return to top of page   II. OCLC Input Procedures
  A. If the MARC/LibCat edit sheet has an OCLC no. entered by the cataloger, check to see that it matches the one on the OCLC record called up by LCCN for input. If it matches, leave it as it is. If it does not match, draw a line through it, and write the correct OCLC no. above it in pencil.   B. If the MARC/LibCat edit sheet does not have an OCLC no. written on it, add the OCLC no. to the space provided for OCLC no. on the edit sheet in pencil.

III. Post Input Procedures

 
All MARC copy that does not have an OCLC no. written in red ink by the cataloger, or has the number corrected, will have the Acquisitions temporary bibliographic record called up by order record number, and the correct OCLC no. input into the record. If contributed copy does not have a check mark or BOS next to the OCLC no., the temporary Acquisitions record will be called up and the OCLC no. entered or verified. All original copy will have the OCLC no. entered on the copy by the person who produces the record after proofreading. The OCLC no. will then be entered into the temporary Acquisitions record, which will be called up by order record number.
