EDS Admin Management

Management of content in EDS means balancing the combination of EBSCO published (EBSCOHost) and non-EBSCO published metadata. EBSCO “manages” metadata and access issues in the same way that ExLibris maintains the back end, but we still have to activate targets to create access. Enabling metadata in EDS follows a three step process that must all be completed for something to be correctly searchable. Once something appears in your CORAL queue then you can start the process of enabling metadata.

Understanding Linking

Linking through EDS is rather complex, and has a variety of methods. This is due to our relationship with EBSCO as a publisher, a subscription agent, and as a discovery service. Basically there are three different types of links.

  • HTML Full Text/PDF Full Text Links (Called Smart Links)
    • These appear when EBSCO has the content relating to whatever record you are viewing in one of the databases they publish and you subscribe to. It is one of the most common links users see in EDS.
  • Smart Link Plus (Shown as Linked Full Text)
    • These appear when EDS wants to link us to something we buy from EBSCO, but that they do not publish. This is for things like eJournals, packages, etc.
  • CustomLinks (UMlinks, ILL Request, Catalog Links, Connect to Resource, Configured Publisher Icon)
    • These are also very popular, as they are everything we have that is in EDS, but that we don't pay EBSCO for.

Enabling a New Resource

Enabling Metadata

Like SFX, enabling metadata is a three step process.

  • First, navigate to the EDS Wiki to see if the resource is a partner with EBSCO. As long as the resource is partnered, they should be on the Database list. Check for what sort of metadata is provided on the EBSCO Wiki.
    • Under Content & Searching, choose “Partner Database Information” to see the partner spreadsheet.
      • If it isn't on the spreadsheet then it can't be activated in EDS. Make a note in CORAL.
      • If it is, check to see what sort of metadata is actually provided to EBSCO.
        • The FAQ section can also give information about what is actually available in EDS.
  • Next, navigate to the EBSCO Admin.
    • Change the profile to “EBSCO Discovery Service (eds) - eds”
      • The other profiles are for things like the EBSCOHost database configuration or if we wanted to create subject collections, etc.
  • Change to the Databases tab
    • The default is to show everything, including things that aren't activated. You can change this to “Enabled” or “Disabled” depending on what you're doing.
      • ALWAYS LEAVE THE NEW CONTENT AUTO. ENABLED SET TO “NO”
    • Each database has an ID.
      • cat* prefix means UMass/FCC print holdings (Aleph Data)
      • ir* prefix is one of the 5C institutional repositories
      • eds* prefix means the database collection was created by EBSCO.
      • No prefix means it is an EBSCOHost database.
        • These IDs are not consistent and cannot be used to find content elsewhere in the admin.
  • If you're activating metadata for a new resource, you change the list to show “Disabled,” but if it isn't on the list and is a partner, switch back to All and look for a matching title that is already enabled.
    • For example, the child databases for Hein Online are not on this list, but their metadata lives under the 1 “HeinOnline” entry.
    • Save time by using Ctrl+F to find the content. It does break into separate pages.
      • If there is no answer about why something isn't on the list, then email EBSCO Support to clarify if the metadata is actually available.
  • Assuming the resource is on the disabled list, toggle the metadata “On”
    • Scroll down and click submit at the bottom of the page.
      • If it is already enabled go ahead and move on and set up the CustomLink
  • Put the name of the Database from the DB Tab in the “EDS DB Name” note in the Access Tab of CORAL. Mark the “Data Integration” section EDS=DB to Yes.

Once the metadata is enabled for searching, you need to enable the CustomLink so that full text can actually be retrieved. An explanation of linking is shown above.

  • Navigate to the Linking Tab and click the “modify” link.
    • The first thing that appears in the Linking Tab is actually the search rankings. (This is part of step 3) Ignore this for now.
  • Click “Add new CustomLinks”
    • This list includes CLs added “for us” by EBSCO during the implementation as well ones added during several years of renewals.
      • Deactivated databases should always be removed from the CL list
      • Anything with the UMAAH tag was created for us by EBSCO. If there are dupes, the content needs to be matched and then ask Kat about deleting the one without a UMAAH.
  • To add a new CustomLink, find it on the list, check the box at the left, and click submit.
    • It will now be in the list of active CustomLinks
  • To manage new or existing CustomLinks, clik “SetUp/Maintain CustomLinks”
    • Click on the hyperlinked title to begin editing.

There are many fields in this menu. Some are configurable, some should never be changed.

  • Basic Settings
    • Link Name: Leave This, especially if it is “managed” by EBSCO
    • Managed By: EBSCO doesn't manage activation, they just make global changes when there are issues. LCL changes are not the same in EDS as they are in SFX.
    • Customize Link: Leave This as EBSCO Managed or else we will not receive the global updates.
    • Category:
    • Link Text: Ignore
    • Mouse Over Text: Ignore
    • Link Icon: Icons are part of the deals with EBSCO. Most things are just “Connect to Resource”
    • Base URL: DO NOT CHANGE
    • Query String: DO NOT CHANGE
  • Advanced Settings
    • Mandatory Fields: DO NOT CHANGE. This is part of the linking that EBSCO manages
    • Window Properties: Ignore
    • Display in New Window: ALWAYS YES
    • Window Name: Ignore
    • Hide Link if Full Text ALWAYS NO (ILL is the only one set to Yes)
    • Show Link: ALWAYS “If Item is in Collection”
    • Local Collections for Filter: USE CTRL+CLICK or else everything will be automatically overwritten
      • Click only the ones we buy (like for Hein Online, choose all the databases we subscribe to, etc. for Gale, ProQuest, etc.)
      • There may be a handful there may be a hundred
        • These actually have a third ID with system.eds, the LCL Collection Code. The ones we create start with UMAAH.
    • Show on Results List:
    • Show on Publication Detail:
    • Show on Detailed Record:
    • Show in Publication Finder Results:
    • Show in Publication Finder Details:
    • Show in Catalog Holdings Table:
    • Mandatory Data for Display in Catalog Holdings Table:
    • Target Uses Ref URL: ALWAYS NO
    • Uses Proxy: ALWAYS YES Unless OA
    • Primary Proxy: SILK Unless OA
    • Secondary Proxy: NONE
  • Once you have made the changes you need, be sure to click submit at the bottom of the page.
  • Put the name of the LCL Collection from the Editing Window in the “EDS LCL Collection” note in the Access Tab of CORAL. Mark the “Data Integration” section EDS=CL to Yes.

The final step is assigning a ranking to whatever metadata you just enabled.

  • Navigate back to the Linking Tab
    • Once you've create a new CutomLink it will appear automatically at the bottom of the list. Assign it a ranking based on the list below.
  • The ranking of CustomLinks is loosely based on SFX sort_services.config ranking.
    • 0 = Aleph Data, EBSCO Services
    • 10 = Paid publisher subscriptions
    • 20 = Publisher hosts (Ingenta, Highwire, etc.)
    • 30 = Newspapers
    • 40 = Databases
    • 45 = Media, image, and streaming
    • 50 = Less reliable aggregators and digitized historical publications
    • 60 = eBooks
    • 70 = Open access
    • 80 = Reviews
  • Once you've assigned or changed a ranking, scroll down to the bottom of the page a click submit.
  • Put the name of the CustomLink from the Ranking Screen in the “EDS CL Name” note in the Access Tab of CORAL. Also mark what the ranking is.

Renewal Procedures

Checking renewals in EDS is actually easier than SFX. Since for the time being we don't really know what the metadata inside a DB is, we don't have to worry about changing content. There's a quick three step process for processing a renewal when it shows up in your CORAL queue.

Checking Metadata

  • Check the Access Tab in CORAL to see if the resource is activated in EDS
    • If it is, go to the Admin and make sure the metadata is still enabled.
      • Put the name of the Database from the DB Tab in the “EDS DB Name” note in the Access Tab of CORAL. Mark the “Data Integration” section EDS=DB to Yes.
    • If it is not, go to the Wiki and check to see if the publisher has partnered with EBSCO to share metadata. If they have, use the process outlined above.
      • If they are not a partner, make sure the Data Integration note is correct, and leave an EDS General Note saying they aren't partners.
        • Skip the rest of these steps and mark the Workflow step complete.
  • If the resource is activated in EDS, check the CustomLink settings to make sure they reflect the notes above.
    • Make sure that all the correct LCL Collections are selected if it is a resource like HeinOnline, where new collections may have been added to our subscription. Use the instructions above.
  • Put the name of the LCL Collection from the Editing Window in the “EDS LCL Collection” note in the Access Tab of CORAL. Mark the “Data Integration” section EDS=CL to Yes.

Checking Rankings

  • If the CustomLink is configured correctly, check the ranking to make sure that it reflects the list above.
  • Put the name of the CustomLink from the Ranking Screen in the “EDS CL Name” note in the Access Tab of CORAL. Also mark what the ranking is.

EDS & eJournal Content

Holdings Management and Ejournal Placards

Any content which is billed to EBSCO is maintained in Holdings Management by EBSCO. The last (second) full load from SFX to EBSCO is to be done in Summer 2017 using a Basic Export from SFX. EBSCO was unable to use an Advanced export despite the availability of parse params. From now on, management of non-EBSCO billed ejournals needs to be done manually.

SFX file to EDS for Library Collection Limiter

There is a cron job set up to transfer SFX holdings to EDS for the Library Collection Limiter. The cron runs at 4:01 am every Tuesday to be processed by EBSCO on Wednesdays at 11:00 am. The cron sends an Advanced Export serials file by ftp to EBSCO. See Steve Bischof for more information.
