Oversize: Housing and recording small amounts in the communal oversize boxes

We've created 2 communal oversize boxes that are intended to be used when you have a couple of OS items and don't want to waste space or $ in a 1.5“ or 3” deep box limited to just that collection.

  • These boxes live on 26 at T.4:F4
  • One box is 20×24“ and the other one is 14×18“. There is one size in-between that we can add as well.
  • Lorraine has stock to make folders on demand. Store multiple items per folder.
  • Stamp the folder (Lorraine has been leaving a 1/5” tab) and label appropriately.
  • Add notes on the tab as needed, i.e. “Rooney: album covers and posters”. I filled out the stamped box/folder space this way for communal oversize box 1, folder 1:  COS 1:1
  • Add the folder number and collection number/name to the inventory sheet that lives in the box.

Entering in a finding aid

Here's my entry in the finding aid. In this case I had multiple c02 that I put in the FA, all mapped to folder 1:

Entering location in Skua DB

In the collection location, add an entry for 26/T.4:F4 and add the following note: Communal OS box 1 (COS 1). Change the number if you're using the other size boxes per the label. Unfortunately the note is not currently searchable in the DB, so you'll need to ask around or refer back to this page if you forget where they're stored.
