Repository
Overview

Repository is technically considered a location type, but for the purposes of our database we treat it separately. If the work you are cataloging is a movable object use the Repository field to record where the work is currently housed. Avoid abbreviations when possible.
Do not use the Repository field for prints or photographs unless there is only one known version of the work or if you are certain that the version you are cataloging in in a specific repository.
Repository should not be used for buildings that have works of architectural decoration such as frescoes, architectural sculpture, or mosaics unless those works have been separated from their original building and now are housed in a secondary location. The secondary location would be the repository.
If a repository is unknown or not listed, please use the entry for “unknown repository.”

Fields
Repository name
This is a field to record the display value for the place in which the work is housed or person or other entity in possession of the work. Use ULAN or Library of Congress to formulate the display value. If there is no entry in ULAN or LOC for the repository, use the repository's website to see what they call themselves.
The Getty may list a repository's preferred name in a language other than English. Please list an English translation in the primary field, with the foreign language name in the variant field. If no English title is provided, skip this step. The Library of Congress often lists a transliterated name: for example, Xu Beihong ji nian guan for Xu Beihong Museum. Please list the variant English spelling in the primary field. There is no need to include the transliteration, as long as the English title is in fact a variant. This recommendation comes from CCO.
If the repository is a named private collection, enter the last name here with first names in parens (e.g. Osuna (Ramon) Collection for Ramon Osuna Collection) and list “private collection” as a variant. For unnamed private locations, enter “private collection (location).” See CCO, page 196.
Repository name variant
If there are alternative names for the repository record them in this field. For named private collections, enter “private collection”.
Repository location
Record where the repository is located. Use “City, State”, “City, Province”, or “City, Country”.
Repository refID source
Record here the resource from which the repository display value was taken, e.g. ULAN, LOC Name Authorities, local.
Repository refID
Use Repository refID to record the unique id number from the refid source for the term being used.
