Rand Corporation Serials Linking Instructions

draft - under construction

BACKGROUND

The Library accepted as free gifts 3 Rand Corporation serial titles in 1979/1980. Rand note and Rand paper were both cataloged as ser adds, were never bound, and are not linked. R (Rand Corporation) was cataloged as a ser anal, never bound, and is partially linked (about half the pieces are linked).

Rand paper - available for purchase online http://www.rand.org/pubs/papers.html

Rand note - free online and MARC records available for batch load - See http://www.rand.org/pubs/notes.html and http://www.rand.org/pubs/library.html

Rand R (reports) - free online and MARC records available for batch load - See http://www.rand.org/pubs/reports.html and http://www.rand.org/pubs/library.html

Each title has very large holdings (several thousand). Each title was given a very brief holdings statement as it was too complex to capture and present meaningfully to users. Example: 866 41 P-1138+ with gaps. Holdings Not Recorded.

Rand paper and Rand notes were left unlinked because of its size and in hopes that the Library would acquire an ILS system in the future that could display the holdings in a way that was not confusing.

I recommend leaving the holdings as is, even when the title is transferred to the new Depository Annex (which is should be as a virtually non circulating collection). Other title in the FCD have holdings recorded in similar fashion.

INSTRUCTIONS FOR LINKING RAND CORPORATION SERIALS

Rand Corporation [Paper]

AS36.R28

P-1138+ with gaps. Holdings Not Recorded.

Use item record form P-1138 as a model (i.e., to duplicate) when creating other items

Place barcode on piece.

When completing item record, be sure to fill in Description and Enum Level 1(A)(Vol) with the correct no. for the piece in hand.

“Arrive” the piece in the Arrival Date Field. If this is done correctly, the public displays says, “Available.” Otherwise it will say “Expected on …”

Estimates for the project: approximately 245 issues per shelf on 19.25 shelves=4,716 issues to link. Taking 1 minute to link each item= 79 student hours (or less as this is very easy linking)

Give any problems to linking supervisor (Lisa Persons? or Cindy Spell?)
