Electronic Resources General Guidance

These guidelines are to help those who work with eResources of any type (ebooks, ejournals, escores, emaps, etc.). Follow the general metadata checklist to ensure all information is included in the eResource record. The language of cataloging should be English (eng). Remember to set holdings on the appropriate OCLC WorldCat record. We no longer add free eResources to Inventory or cover records in Inventory that used for acquisition purposes only.

eReource Record Quality Checklist

What eResources records go where
  • Inventory: eResources that have perpetual access or that we have purchased individually and are part of our inventory are managed in Inventory.
  • EDS: eResource available as metadata sets in Discovery will be enabled there with associated linking.
  • eResource Custom Catalog: eResources that are part of a collection of some sort and are not available in Discovery, for example, those that we receive as metadata sets from OCLC knowledge bases or the vendor, are part of our EDS Custom eResources Catalog, even if that collection is primarily static.
  • Cover records in Inventory for databases, eJournals, etc. should no longer be created.
General Information To Have in Hand

When cataloging an eResource, you will need to have this information:

  • eResource URL
  • Whether our UM proxy is needed or not
  • UMass Amherst access phrase
  • At least one genre term
  • Information on the numbers of users able to access that eResource. If the eResource has Unlimited Users, then we don't record this information. We record only the number of limited seats or users that have access.

For the MARC SRS (Bibliographic) Information: Include

1. RDA terms and codes for Carrier, Content, and Media.

  • Text based resources: 336 \\$a text ǂb txt ǂ2 rdacontent
  • Streaming video: 336 \\$a two-dimensional moving image ǂb tdi ǂ2 rdacontent
  • Images or photographs: 336 \\$a still image ǂb sti ǂ2 rdacontent
  • Streaming audio for performed music: 336 \\$a performed music ǂb prm ǂ2 rdacontent
  • Streaming audio, spoken words: 336 \\$a spoken word ǂb spw ǂ2 rdacontent
  • 337 \\$a computer ǂb c ǂ2 rdamedia
  • 338 \\$a online resource ǂb cr ǂ2 rdacarrier

2. 655 \4$a with the appropriate genre term.

  • 655 \4$a Electronic books.
  • 655 \4$a Audiobooks.
  • 655 \4$a Electronic newspapers.
  • 655 \4$a Streaming videos.
  • 655 \4$a Streaming audios.
  • 655 \4$a Electronic journals.
  • 655 \4$a Electronic maps.
  • 655 \4$a Electronic theses.
  • 655 \4$a Electronic scores.

3. 506 with UMass access phrase.

  • 506 1\$a UMass Amherst patrons have access.$5MU.

If the eResources has a limitation on the number of users, record this before the period in the same 506.

  • 506 1\$a UMass Amherst patrons have access to 5 simultaneous users at a time. $5 MU
  • 506 1\$a UMass Amherst patrons have access to 1 user. $5 MU
  • 506 1\$a UMass Amherst patrons have access to to 1 Simultaneous User on the publisher platform. $5 MU
Information Needed for the Holdings Record
  • Location: UM Internet (UMWWW)
  • Call Number Type: Other scheme
  • Call Number: Online
  • Electronic Resource

eResources do not have any holdings statements.

Information Needed for the Item Record
  • Material Type: Select appropriate type such as E-Book or E-Journal from the drop down menu
  • Permanent Loan Type: Internet
Number of Holdings and/or Item Records

For an additional copy or copies of an eResource that are purchased:

  • eResources' URLs are the same
    • Keep only the one URL to the resource in the holdings record
    • In the MARC SRS record, add a 506 1\ to indicate the number of seats or users that can access the resource.
  • eResources' URLs are different
    • Add an additional Electronic Access with the Relationship of Resource and appropriate information in the Electronic Access URI and Link fields.
    • In the MARC SRS record, add the number of seats or users to the existing 506 1\ before the period and $5MU.

The number of items for eResources should be kept to a minimum, with a best practice of 1 item per holdings record.

Use of the Container Code

The Container Code is used to colocate records together as a set. The Container Code is in the MARC field 035 9_ in the bibliographic MARC record. These codes are managed by the batch loaders and are primarily, though not necessarily, used for record sets that are managed in batches.
