Bindery Journal Exceptions Workflow
for individuals tasked with reviewing exception requests

    1. Review EAST database to see if there is a retention commitment
    2. Binding is appropriate for journals with an EAST retention commitment
    1. If there is not an EAST retention commitment, check the Portico Title List to see if the title shows a Status of “Preserved”
    2. If Preserved, confirm that we have an online subscription and if not online, give the information to the Acquisitions Coordinator to update the subscription to online only, if available
    3. We generally do not bind journals with a Portico status of Preserved
    4. Binding is appropriate for journals with a Portico status of Queued
  1. EBSCOadmin: If the journal is not preserved in Portico, review EBSCOadmin Holdings Management (populated by UMass SFX) to see if the journal is a) reliably available online (stop here and do not bind); b) if there are alternate titles then go back to EAST and Portico and check the alternate title(s); if an entry is marked Open Access go to Ulrichs to link to the online journal; if a journal is not reliably available online and is not Open Access, binding is appropriate
  2. Ulrichs: If not found in any of the above, check Ulrichs to see if the journal is reliably available online and if there are alternate titles that should be checked in EAST and Portico; there will also be an indication for Open Access
  3. Open Access titles: Search for journals in Ulrichs a) to confirm that you can successfully link to the journal (Open Access link should be found in Ulrichs) or to b) search for a title that you have not found anywhere else (you are probably going to bind these journals)
  4. After review and in consideration of availability of binding funds, a determination will be made as to whether or not to bind.
