Collection code

This page is under construction! We are planning a form to expedite the process of requesting a collection code.

The UMA Libraries Borrowing pages are useful for this form's development.

1. Cataloging : (Qs? Ask Meghan for help with this section)

a. What is the purpose of this new location? (The answer will go into a free text box)

b. Where is it housed? (The answer will go into a free text box)

c. How will the items be used? For example cover records for electronic items are records that staff use or a separate collection for all patrons to use. (The answer will go into a free text box)

d. What kind of material is contained in the collection is it? (Multiple choice check boxes of the FC approved material types for FOLIO)

2. Processing: (Qs? Ask Scott for help with this section) - If there are multiple material types for a collection code, we need to be able to cycle through these questions for each type.

a. What kind of processing do these items need? (ie- Separate spine labels, DVD labels) (radio list of options. We can have an OTHER field and then he can circle back if there will be a new/unique process.)

i. Scott: define what processing is- is it just labels and housing (and therefore is this question not necessary)? are there other things we are missing that we should ask about specifically?

b. What kind of labels? (ie- Separate spine labels, DVD labels) (Radio list of label options, with an OTHER field. We can circle back in the follow up to address unique/new cases)

c. What housing materials need to be obtained/used? (ie- DVD Cases)(Radio list of housing options, with an OTHER field. We can circle back in the follow up to address unique/new cases)

3. Circulation: (Qs? Ask MaryAnn for help with this section)- If there are multiple material types for a collection code, we need to be able to cycle through these questions for each type.

a. Do the items circulate? (Y/N) (if N then can skip the rest to the end of the form!)

4. Maintenance

a. Are they maintained by Stacks Management or by staff at their location?

b. How are they replaced?

Note

To create the collections all the absolute minimum information needed is where it is house (what sublibrary does it belong to ) and the expected name. BUT…this does not always work out. There are often other kinds of expectations that are requested LATER which causes “clean- up work”.

Questions for the follow up consultation meeting:

How do you want the collection labeled in discovery apps ( EDS, Aleph OPAC ) (ADD explanation and examples of our standard naming convention, so that the label is consistent with other labels. WILL the convention change with FOLIO?)

Explain how these items will be discover able

follow up about circulation if item circulates. Present the FC-wide agreed circulation policies that will take effect with FOLIO. Whatever is agreed upon must be in line with the consortia policies.

- Who can borrow?

- What is the loan period?

- Request-able?

- circulation notices?

- What kind of billing? Fines? replacement bills? Do they use the default replacement charges or are they individually priced? Standard Fines and Fees information

- Do they need a separate check out/in procedure such are laptops?
