Withdrawals

When list of lost items to be withdrawn arrives from Billing or a damaged book is sent to you, search each item in Aleph. Check for a 583 in the Bib confirming that the library has made a retention commitment to EAST.

If there is no 583 with an EAST commitment, process as per Withdrawal of materials from the collection: Materials without EAST retention commitments.

EAST Materials

EAST materials will have the following 583 field in the bibliographic record:

583 1-

   |a committed to retain
   |c 20160630
   |d 20310630
   |f EAST
   |u http://eastlibraries.org/retained-materials
   |z UMass copy: EAST commitment
   |5 MU

1) If there are additional items (i.e. we hold other copies of the same edition), the other copy will be retained for EAST.

-Withdraw the missing item.

-Add “MI” to item “Status.”

-Add Circ. Note: “WDN 6-30-16; [initials, paid].

No more needs to be done.

2) If there is only one item, add “MI” to item status, and add an internal note to the withdrawn item record: EAST WDN [2-6-18, mfl]. Remove the 583 from the bibliographic record and add the title to the “EAST books withdrawn” list, as follows. (Include notes when necessary to explain a complicated situation.)

1.William Howard Taft / Herbert S. Duffy, 1930.

OCLC # 894616

2.Black Jacobins / C.L.R. James, 1963

OCLC # 362702

Replacement copy, 1989 edition: OCLC #20767057. Appears to be identical; transferred 583.

This list will be sent periodically to EASTreallocation@blc.org, where our EAST commitments will be updated.
