Electronic Resources Cancellation Checklist

When we lose access to electronic resources (i.e. cancellation, no longer “free”), we need to update this information in several places.

  • Make notation in order record, and change status
  • Cancel encumbrance if funds have not already been encumbered
  • Add note to Dblist (if applicable)
  • If access is to cease at a future date:
    • Print out bib. record
    • Make notation of pertinent information
    • Place in cancellation pile on table, or in personal folder
  • Send vendor a cancellation notification, and file in cancellation folder in eleres
  • Suppress Bib. & Holdings record if there is no other access
  • Credit selector credits if appropriate
    • (W\Departmental_Folders\Acquisitions\FY(xx)_selector_credits.xls)
  • Notify Liz F. if it needs to be de-activated in dblocator.
  • Give all non-MarcIt records to Meghan B.
  • Notify C. Turner for posting to electronic resources blog
  • Remove From/Close In:
    • Verde
    • Username Password File
    • Restricted Page via Webhelp ticket, if applicable.
    • SFX
    • Notify E-Reserves, if applicable.
  • If paper file exists, move out of active drawers to inactive drawer.
