Electronic Resources General Guidance for All

These guidelines are to help those who work with eResources of any type (ebooks, ejournals, escores, emaps, etc.).

Follow the general metadata checklist to ensure all information is included in the eResource record.

eReource Record Quality Checklist

What eResources records go where:

eResources that have perpetual access or that we have purchased individually and are part of our inventory are managed in our catalog/inventory.

eResources that are part of a collection of some sort, for example, those that we receive as metadata sets from OCLC knowledge bases or the vendor, are part of our EDS Custom eResources Catalog, even if that collection is primarily static.

For Free eResources records:

Free eResources are handled by discovery and are not added to the catalog/inventory.

For the Bibliographic Information:

Remember to include the: 1. RDA terms and codes for Carrier, Content, and Media.

2. 655 _4$a that has the appropriate genre term. 655 \4$aElectronic books. 655 \4$aAudiobooks. 655 \4$aElectronic newspapers. 655 \4$aStreaming videos. 655 \4$aStreaming audios. 655 \4$aElectronic journals. 655 \4$aElectronic maps. 655 \4$aElectronic theses. 655 \4$aElectronic scores.

3. 506 with 1st indicator set to 1 that has UMass access phrase. 506 1_$aUMass Amherst patrons have access.$5MU.

For the Holdings Information:

All eResources go into the Collection of UWWW only. The call number should always be “Online”. For Aleph, this goes into a 852 with a 1st indicator of 8 and in a $h.

eResources do not have any holdings statements which can be found in the 866 MARC field.

Number of Holdings and/or Item Records:

For an additional copy or copies of an eResource that are purchased:

If the links are the same between all copies, we will keep just the one URL in the 856 field in the Holdings record. We will record an access note in bib record in the MARC 506 field with subfields 1 and blank that indicates the level of access if one isn’t present or doesn’t capture the new level of access for all additional copies. Additionally, notes can be added to the order record regarding seats, and comments can be added to say that there is only 1 bib/hol/item for all the copies.

If the links are different, an additional 856 will be added to the Holdings record. MARC 506 field with subfields 1 and blank that indicates the level of access if one isn’t present or doesn’t capture the new level of access for all additional copies.

The number of items for eResources should be kept to a minimum, with a best practice of 1 item per holdings record.

For setting Holdings on OCLC WorldCat Records:

No eResources have any holdings set on OCLC WorldCat records or any local holdings records (or holdings statements) associated with any OCLC WorldCat records.
