MARC record loading generally happens in one of three ways:

• Automated loads
• Manual loads done by the ILS department
• Manual loads done by one of the other libraries in the FCLC

Currently, all records from YBP are loaded automatically (EOCR and soon Silver Plus OCLC enhanced records). A list of records loaded for the consortium is available at https://docs.google.com/spreadsheets/d/1TAIR-RHSVAHsWnD8spaq7e4USxxRNL1f7Gk8MRxNjJE/edit#gid=0.

In general, manual MARC record loads use the follow process:

1. Download records from vendor or OCLC
2. Use MARCedit to make changes to records
3. Upload file to Aleph server
4. Use p_file_01 and p_file_02 to put the file into the Aleph import format
5. Use p_manage_37 to apply the UMFIX, which puts the OCLC# in the propoer format for loading as well as other fixes
6. Use p_manage_36 to compare the file with records already in Aleph - this step will determine new records and replacement records
7. Use p_manage_18 to load the new records or replace records already in Aleph
8. Use p_manage_50 to create holdings and items
9. Use p_manage_21 to remove URLs from the bib record

For UMass records, there are 2 custom services. The first, p_umprocload_01, does steps 4-6 and the second, p_umload_01, does steps 7-9 and emails the bib numbers to ILS. Detailed instructions for various collections are linked to below.
