Searching in Connexion

Use F2 to bring up the search box. If the title has an ISBN, always search by ISBN–this is a more precise search. If there is no ISBN, search by title. Use the title on the title page, NOT the cover title.

Assessing the records

040:

  • 040 must have $b eng in it (for English language records)–we do not accept records that are not English language records.
  • RDA records will also have “rda“–if the record doesn't have $e rda, that's ok! It's just an old record done under old rules! You can still use it.

245:

  • Title must be an exact transcription from title page, title page verso, colophon, covers, or other

250:

IF there is an edition

  • RDA records will have the edition spelled out in full or exactly as written on the title page verso, cover, etc.
  • Non-RDA records may still have abbreviated edition statements

250 $a Third revised edition. OR 250 $a 3rd rev. ed.

264:

  • New rda records record imprint in 264. Older AACR2 records will still have a 260 field, sometimes with less specificity. If you find a record with a 260 field, it is still fine to use.

264 _1 $a Place of publication : $b Publisher, $c Date of publication.

  • If no place of publication or publisher is identified anywhere on the piece:

RDA records may also use several other 264 fields for Production, Distribution, or Manufacture. Ask a cataloger if you have questions.

  • Physical description

300 $a Pagination : $b illustrations, maps, etc. ; $c height in cm

33X:

  • Each record must include carrier fields. These are RDA fields using 336, 337 and 338. The fields change depending on format.

Example for books/monographs/serials:

  • 336 $a text $b txt $2 rdacontent
  • 337 $a unmediated $b n $2 rdamedia
  • 338 $a volume $b nc $2 rdacarrier

050

  • All records require a well-formed Library of Congress (LC) call number, containing both $a (classification) and $b (cutter/date)
  • If the call number is well-formed do not evaluate, edit or check. If a record has an LC call number with a volume designation (and no alternative number), ask a cataloger.
  • If a record has two LC call numbers, choose one call number and delete the other choice before exporting into the catalog
  • Call numbers belong in the 050 field with the second indicator of 4.
  • Only use 090 for the call number when UMass is over-riding an already established call number for local purposes. Otherwise, ALL LC CALL NUMBERS BELONG IN 050.

6XX

  • At least one subject must be present in a 6XX field unless it is a book of literature. Do not evaluate, edit or check any subject entry.

1XX/7XX

  • If a person is named in 245 $c, they must have a 1XX or 7XX entry. Do not evaluate, do not create addition entries, do not evaluate for main entry.

Exporting into Aleph

Add two fields to the bottom of each record you export:

  • 910 INITIALS DATE (ex: AMK 08/15/2019)
  • 928 AUTHORITY

Update holdings. Then go to the 049 field and change from AUMM:

  • 049 AUMSEL

This will create your items and holdings in Aleph automatically. After the item successfully exports, a pop-up box will show up telling you that you have successfully created everything. Take the very top number that says FCL01.######### and copy everything AFTER the period. Use the top search box in Aleph, paste in that number and hit enter. You will be taken to your new record! Barcode the item and you're done!
