EDS Admin Management

Management of content in EDS means balancing the combination of EBSCO published (EBSCOHost) and non-EBSCO published metadata. EBSCO “manages” metadata and access issues in the same way that ExLibris maintains the back end, but we still have to activate targets to create access. Enabling metadata in EDS follows a three step process that must all be completed for something to be correctly searchable. Once something appears in your CORAL queue then you can start the process of enabling metadata.

Activating a Database (Non EBSCO)

  • First navigate to the EBSCO Admin.
    • Change the profile to EBSCO Discovery Service (eds) - eds
  • Change to the Databases tab
    • The default is to show everything, including things that aren't activated. You can change this to “Enabled” or “Disabled” depending
      • ALWAYS LEAVE THE NEW CONTENT AUTO. ENABLED SET TO “NO”
    • Each database has an ID.
      • cat* prefix means our print holdings
      • ir* prefix is one of the 5C institutional repositories
      • eds* prefix means the database collection was created by EBSCO.
      • No prefix means it is an EBSCOHost database.
        • These IDs are not consistent and cannot be used to find content elsewhere in the admin.
    • Ctrl+F to find the content. It breaks into separate pages.
      • The enabled list breaks into a second page at around the letter P
  • If the resource is on the list, check for what sort of metadata is provided on the EBSCO Wiki.
  • Under Content & Searching, choose “Partner Database Information” to see the partner spreadsheet.
    • If it isn't on the spreadsheet then it can't be activated in EDS. Make a note in CORAL.
    • If it is, check to see what sort of metadata is actually provided to EBSCO.
      • The FAQ section can also give information about what is actually available in EDS.
  • If there is still no answer about why something isn't where you're expecting it to be, then email EBSCO Support to clarify if the metadata is available.
    • At this point make sure it is enabled in the Admin or leave a note in CORAL. Enabling here just means the metadata is searchable in EDS.
  • Once the metadata is enabled for searching, you need to enable the CustomLink so that full text can actually be retrieved.
  • Go back to the Admin and navigate to the Linking Tab and click the “modify” link.
    • The first thing that appears is actually rankings. (Step 3) Ignore this for now.
  • Click Add new “CustomLinks”
    • This is the list of CLs added “for us” by EBSCO
      • Deactivated databases should always be removed from the CL list
  • This area of the Admin has different IDs.
    • Everything with UMAAH was created by EBSCO when EDS was first configured.
    • As of right now there shouldn't really be any local items.
  • To add a new CustomLink you need to click away from “Add” to “SetUp” and then back to “Add”
    • choose Create New CustomLink and Hit Continue

The order of CustomLinks is loosely based on SFX sort_services.config ranking. Here is the basic order, with space for tweaking.

  • 10 = Paid publisher subscriptions
  • 20 = Publisher hosts (there weren’t any)
  • 30 = Newspapers
  • 40 = Databases
  • 45 = Media, image, and streaming
  • 50 = Less reliable aggregators and digitized historical publications
  • 60 = eBooks
  • 70 = Open access
  • 80 = Reviews

Holdings Management and Ejournal Placards

Any content which is billed to EBSCO is maintained in Holdings Management by EBSCO. The last (second) full load from SFX to EBSCO is to be done in Summer 2017 using a Basic Export from SFX. EBSCO was unable to use an Advanced export despite the availability of parse params. From now on, management of non-EBSCO billed ejournals needs to be done manually.

SFX file to EDS for Library Collection Limiter

There is a cron job set up to transfer SFX holdings to EDS for the Library Collection Limiter. The cron runs at 4:01 am every Tuesday to be processed by EBSCO on Wednesdays at 11:00 am. The cron sends an Advanced Export serials file by ftp to EBSCO. See Steve Bischof for more information.
